Accounts Payable reviews all transactions for signature authority based on the board approved delegation resolutions. Please review the link below if you have questions.
Purchasing Authority
Back up Requirements for transactions submitted to Accounts Payable (District auditors require original receipts and proof of payment)
Please provide an original receipt that shows payment was made.
For expenses paid by cash:
If it's not already indicated on the receipt, please write, "paid in cash" on the receipt and initial it.
For expenses paid by personal check your receipts must show:
- Payment was made by personal check (not a district-issued check).
- The check number
- If the number is not imprinted on the receipt, then you should record the check number on the receipt yourself and initial it.
For expenses paid by credit card other than Visa your receipts must show:
- Your name
- That the transaction was completed, 2nd that payment was made (specifically, for airline hotel, and conference receipts)
- Your credit card type (i.e., Master Card, American Express, Discovery, etc)
For Visa credit card receipts:
- District procurement cards are Visa cards. They all start with the same first four numbers. Visa receipts must show at least the first four numbers of the charge card (not just the last four numbers as is typical).
- If the first four numbers of the charge card are not included on the receipt, then you must write them on receipt and initial it.
